5.3 | A Complete Guide on Privacy Settings

6 minute read

Let's understand how to change your privacy settings enabling the "Require email to view" feature for effective lead generation. Follow these simple steps:

What are the Privacy Settings?

In RELAYTO, privacy settings for experiences and hubs allow you to control who can access, view, and interact with your content. These settings are Public, Unlisted, Require Email to View, Password Protected, and Private.

Step 1

Click on the "Share" button in the top right corner.

Step 2

Click the privacy settings menu to open the options.

Type of Settings

Choose the setting that best suits your user case.

Public

This means that your experience will be listed in searches, so if someone uses Google, they'll be able to find it in their browser.

Who has access?
Anybody, once the document/hub becomes public.

When to use?
Marketing & public customer-facing content. Public documents will appear in search results on most search engines (e.g. Google, Bing) and RELAYTO.

Unlisted

It won't be listed on browser, so people aren't able to find it on Google. Instead, you have to send the link to the user for them to find it.

Who has access?
Only those with access to the document or hub URL.

You will need to share the document/hub URL with people. This is safer than sending PDF via email since the author can always update content, monitor the URL and, if needed, change/revoke/expire access.

When to use?
If your content is intended for a limited audience. Unlisted documents/hubs allow frictionless access to the content. You will need to share the document/hub URL with people.

Require email to view

The person who opens it will have to input their email before accessing the content.

Who has access?
Only those with access to the document or hub URL, and will be prompted to enter their email address. With this security setting, you will also have access to several optional features such as email authentication setup, whitelisting of email addresses or domains, and the option to require the company name and full name of the person accessing your RELAYTO experience.

When to use?
When you want to collect visitor data from your experience. Also, when you want to whitelist a list of visitors or those with a specific email domain.

You can activate "Require company name" and "Require full name." for additional information.

  • Require company name: Visitors will have to enter their company name.
  • Require full name: Visitors will have to enter their full name.

To enhance security, consider enabling Email Authentication. In this case, users will receive an email with a 6-digit code for authentication.

Click "Access control" to specify the email addresses or domains allowed to access the content.

Password protected

Set a password that will be asked to the user when they open the experience. Write the code on Password and click Update to add or edit.

Who has access?
Only those with access to the document/hub URL AND the password.

The password for your RELAYTO document can be changed or removed anytime, unlike a PDF.

When to use?
When your content is intended for a limited audience. Unlisted documents/hubs allow frictionless access to the content. You will need to share the document/hub URL with people.

Private

Only the people you gave permission will be able to access it. To grant permission, add the person's email on the People tab.
