RELAYTO Privacy & Security Settings

Where to find

Dedicated privacy settings:

The Privacy Settings for documents and hubs can also be changed at any time by clicking the Share button located on the top right-hand corner. This will open the dedicated options box, where you can add/remove users, send personalized links and change the Privacy Settings.

The Privacy Settings can be selected from the dropdown menu at the bottom of the box.


The Privacy Settings can also be selected when we create a new document or hub.

 

Public

Who has access?

Anybody, once the document/hub becomes public.

When to use?

Marketing & public customer-facing content. Public documents will appear in search results on most search engines (e.g. Google, Bing) and RELAYTO.

 

Unlisted

Who has access?

Only those with access to the document or hub URL. 

You will need to share the document/hub URL with people. This is safer than sending PDF via email since the author can always update content, monitor the URL and, if needed, change/revoke/expire access.

When to use?

If your content is intended for a limited audience. Unlisted documents/hubs allow frictionless access to the content. You will need to share the document/hub URL with people.

 

Require Email to View

Who has access?

 Only those with access to the document or hub URL, and they will be prompted to enter their email address. With this security setting, you will also have access to several optional features such as email authentication setup, whitelisting of email addresses or domains, and the option to require the company name and full name of the person accessing your RELAYTO experience.

When to use?

When you want to collect visitor data from you experience. Also, when you want to whitelist a list of visitors or those with a specific email domain.

What other options are available for this setting?

 

If nothing else if selected, visitors will only be prompted to enter their email address before accessing the experience. Additionally, other options are available:

Require company name: Visitors will have to enter their company name.

Require full name: Visitors will have to enter their full name.

Email Authentication: Visitors will have to enter their emails, they will then receive an access code to verify their email address and access the experience.

Access Control: A list of email addresses or domains can be added to whitelist them and grant them access to the experience.

 

Password Protected

Who has access?

Only those with access to the document/hub URL AND the password.

The password for your RELAYTO document can be changed or removed anytime, unlike a PDF.

 

When to use?

When your content is intended for a limited audience. Unlisted documents/hubs allow frictionless access to the content. You will need to share the document/hub URL with people.

 

Private

Who has access?

Only those who simultaneously meet three conditions:

  1. Have access to the document/hub URL.
  2. Have been authenticated on RELAYTO.
  3. Have been granted access to the document/hub.

 

When to use?

If your content is intended for a limited audience. Unlisted documents/hubs allow frictionless access to the content. You will need to share the document/hub URL with people.

 

Frequently Asked Questions

How do I communicate to users that a document is confidential?

There are 3 ways of doing it: 

  1. RELAYTO automatically adds a message that communicates that the experience is confidential.
  2. You can add a confidential label to your PDF before uploading to RELAYTO.
  3. You can reinforce confidentiality with a personalized message in RELAYO addressed to a specific user.

I don’t want to add extra friction with passwords, but what can I do when an unauthorized party gets a hold of my document experience?

RELAYTO offers Personalized links, which allows authors to create unique URLs for a document and add a customized message to a specific recipient. This message can reinforce confidentiality.

Every personalized link can be disabled, password-protected, and set to expire. This is impossible with a PDF once it's been accessed by an unauthorized party.

Can I limit access to a RELAYTO experience by IP address?

Yes. IP-based access restriction allows the administrator to control access to the content based on an IP (Internet Protocol) address. Only those users who access RELAYTO content from defined IP addresses are allowed to view and, if permissioned, edit/create content.

Please note that this is an ENTERPRISE-ONLY feature with additional cost involved and is not available on standard Team, Pro, or Public subscriptions.

Can I control access to documents/hubs globally for all my employees?

Yes, you can set the View / View Analytics / Edit / Owner permissions on a company level and provision access to documents/hubs to all users at once. 

  1. To do that you'll have to: 
  2. Go to your company's dashboard.
  3. Click on Settings
  4. Click on Users
  5. You can then give permission on a domain level by adding the company domain.

 

Can I grant someone permission to edit my experience without giving access to all my other documents?

It is possible to invite a user to the experiences and give him permission to "Edit". To do that:

  • Open the experience.
  • Click on the Share button in the top right corner.
  • Select the People tab.
  • Invite the user by entering the email address.
  • Change rights to "Can edit".

 

The user will only have access to the experience to which he was given access, and no other content.
